Integrate or Redesign Workflows
What you need to know
You can augment an existing process by dropping Claude into one step, or redesign the process around what Claude makes possible. Augmenting is faster to adopt. Redesigning can unlock bigger gains but needs more change management.
Augment or redesign
- Augment — keep the current process; speed up a single step (for example drafting the first version of a report).
- Redesign — rethink the whole flow (for example replace a multi-day review loop with draft, check, and approve).
Choose augmentation when the process is sound and the pain is in one step. Choose redesign when the process itself is the bottleneck.
Maintainability
Name an owner for the Project so it does not go stale when people change. Keep human checkpoints at costly-error points whichever route you choose.
Worked example
Monthly stakeholder report: write the current manual steps, decide Claude augments the draft step, create a Project with standing rules plus template and reference docs, then run one cycle supplying only new data in chat. Anything still typed every month moves into the Project until a new cycle needs only the new inputs.
Exam traps
Augment when the whole process is the bottleneck
If the old process was built around a limit Claude removes, redesign instead of speed-patching one step.
Redesign when only one step is slow in a sound process
Augmenting is faster to adopt when the pain is local.
Skip human checkpoints after automation
Keep a human check wherever an error would be costly.
Treat direct system integration as a chat feature
Automatic data feeds are a conversation for the Developer or Architect team.
Practice scenario
A monthly stakeholder report already has a sound process, but drafting the first version always takes too long. What is the best design move?
Build exercise
Set Up a Recurring Workflow in a Project
4.4 · Intermediate · ~45 min · claude.ai
What you will practise
- How to augment a current process versus redesign it.
- Why recurring work belongs in a Project.
- How to split what is stored in the Project from what you type each time.
- How to keep a workflow maintainable when people change.
Use the Domain 4 Project exercise so a new cycle runs by supplying only new data.
